Business Process Automation
for US SMBs. Automate First, Add AI Where It Pays.

Skip the hype.

We fix the manual bottleneck first — the spreadsheets, copy-paste and Monday-morning reports. Then, and only then, we bring AI in where the math actually works.

How we work

How our business automation process works: 3 steps, no black box

We handle the unglamorous work first — the kind that gives your ops manager back twelve hours a week. Then we decide whether AI belongs on top.

See how it works →
01

Map the process

We spend two days with your ops team. Every manual step gets documented.

02

Automate the manual work

Custom tools, real dashboards and integrations. This is where roughly 80% of the hours come back.

03

Layer AI where the ROI is clear

We look at what's left — invoice matching, quality inspection, forecasting, customer email triage.

The math

What manual data entry really costs your business

The salary saving is only half the story.

Your team loses 1 to 2 hours a day to manual work. That time is ours to give back.

Get the math for your team →

Direct saving

Hours / person / day~1.5 hrs
Team size10
Hours / year~3,750

~$93,750

Opportunity value

Hours redirected~3,750
$/hr (3× rule)~$75

~$281,250

Combined

Per year
Direct saving~$93,750
Opportunity~$281,250

Total / year

~$375,000

Numbers are illustrative. The direct saving uses $25/hr, a typical fully loaded cost (wage plus taxes and benefits) for a US admin or data-entry role. The opportunity value assumes an hour moved to revenue work is worth about 3× that. On the discovery call we build the math against your actual ops before quoting anything.

Automation case studies: manufacturing, insurance, fintech, healthcare

Manual data entry. Systems that don't talk. Reports somebody builds by hand every Monday. We've solved this shape of problem in manufacturing, insurance, fintech, and healthcare. The industry label changes — the underlying work doesn't. If your team is drowning in re-typing data between tools, you'll recognize these.

Manufacturing

Case 01

Warehouse staff checking auto parts stock on a tablet

Maxline Products

Automotive parts manufacturer: 5,000+ part numbers, one product system

Before

Brake disc, drum and hub data for 5,000+ part numbers sat across disconnected tools. Matching a part to a vehicle or a competitor part meant searching by hand, and product updates were typed in one record at a time.

What we built

A product management system that maps every part to vehicle groups, makes and models, plus competitor cross-references. Bulk import replaced manual entry, a searchable web catalog serves customers and staff, and a secure API feeds partner systems.

Result

Mapping Maxline's parts to competitor parts lifted sales 1.5×. Any manufacturer with a big catalog and a sales team hunting for cross-references has the same problem.

Insurance

Quoting Fast

Manual lead entry → over 1 million leads processed automatically

Before

Operators typed leads from phone calls into a spreadsheet, then emailed them out to agents one at a time.

What we built

Custom CRM + VICIdial integration + Stripe billing + self-service agent portal + auto-routing to third-party CRMs.

Questions we hear

Business process automation FAQs

Real questions from real prospects. Here are the answers, no fluff.

Desk with laptop and coffee mug, city view
01

Have you worked in my exact industry?

Maybe, maybe not. Our shipped work includes automotive parts manufacturing, insurance CRM, fintech integration, and healthcare platforms. But the underlying problem doesn't change with industry — manual data entry, systems that don't talk, reports built by hand. On the first call we'll be upfront about whether your specific workflow is one we've built before or one we'd be figuring out with you. Either way, you know before you sign.

02

How much does business process automation cost for a small business?

Most first-phase engagements land between $12,000 and $40,000, fixed-scope. We phase the project so you're looking at working software in 4 to 6 weeks — not six months out. Changes after that are priced per phase, never by the hour, so you know the number before we start.

03

Can you connect QuickBooks, our CRM, and our other tools?

Yes. Most of our work is making systems talk: QuickBooks, Xero, HubSpot, Salesforce, Zoho, Stripe, and custom databases. If a tool has an API, we can usually sync it. If it doesn't, we'll tell you on the first call.

04

Can you replace our Excel sheets with real software?

That's usually where we start. We turn the spreadsheets your team updates by hand into a web app with role-based access, live dashboards, and approval steps. Your data moves over, and nobody re-types anything.

05

How fast do we see something working?

Working version in 4 to 6 weeks. Full production rollout usually 10 to 14 weeks, depending on scope. If we can't hit that, we tell you before you sign the contract.

06

What about the timezone gap?

Our team overlaps US business hours 8am–12pm ET, five days a week. Rahul (business) and Kishan (technical) are your two points of contact, and we reply within 4 hours on weekdays. We've been running this playbook with US clients since 2018.

07

Do you actually use AI, or is it just in the marketing?

Both are true. We use AI in production for specific things where it pays for itself — document extraction, forecasting, categorization, quality checks. We don't sprinkle it on top of every project to make the demo look impressive. If AI doesn't move the needle on your problem, we'll say so and skip it.

08

What if my people just take longer coffee breaks with the saved time?

Fair pushback — savings only count if the hours get redeployed. That's exactly why Step 01 is process mapping. We tell you which roles get time back and build the reporting so you can see what they're doing with it. If a role can't put the time to productive use, we'll flag it and skip that piece of automation.

09

What if I just want to explore, not commit yet?

Book a call on our calendar, or message us on WhatsApp if that's easier. First conversation is free, about 20–30 minutes, no follow-up spam, no proposal ambush. If there's a fit we'll suggest a paid Process Audit as the next step. If there isn't, you keep the map anyway.
