A civil contractor managing clusters of government projects couldn't see progress across districts and phases. We built a hierarchical project system with cluster, district and project-head roles, a mobile app and reports.
Giriraj Civil Developers Limited (Giriraj) is a prominent contractor in India, known for its skilled and technical team. The company has gained a strong reputation in the contracting sector through its team of professionals. In recent years, Giriraj has completed numerous civil construction projects, establishing itself as a reliable contractor that prioritises quality and timeliness, with a focus on maintaining cost efficiency.
Recently, Giriraj Civil Developers Limited secured a significant new project in Himachal Pradesh, encompassing two primary components: Solar Fencing and Land Levelling. This extensive project demands intricate coordination between administrative teams, contractors and government authorities. The company seeks an innovative solution to segment the entire area into multiple sectors efficiently. This system would not only facilitate effective management of both the land levelling and solar fencing processes but also enable meticulous tracking of all completed and pending work. This approach aims to streamline operations, ensuring timely and quality execution of the project.
The project's division into state-wise clusters made tracking each cluster's progress individually complex.
There was a need for a platform for Project Heads, District Heads and Cluster Managers/Contractors to report the progress of their assigned clusters.
The company operates in a hierarchical structure from Management to Contractors. Ensuring effective communication and activity performance at each level was crucial.
Both Solar Fencing and Land Levelling involved multiple phases, necessitating efficient tracking of these phases, associated documents and responsible personnel.
A comprehensive view of overall work progress was essential for effective management.
We introduced functionality to define districts and set up individual clusters within them, including document management for each cluster.
Features were provided to define processes and phases for each activity, with weightage indicators for completion percentage.
We enabled the administration to define roles such as Project Head, District Head, Cluster Manager and Contractor, assigning them to respective districts or clusters.
A mobile app accessible to Project Heads, District Heads and Cluster Managers/Contractors was launched, allowing them to perform operations with granted permissions.
Cluster Managers/Contractors can manage Solar Fencing or Land Levelling processes, update progress, upload progress photos, set projected dates for future progress and communicate with District Heads.
District Heads can monitor progress across clusters, manage activities, add notes and communicate with Cluster Managers/Contractors and Project Heads.
Project Heads can oversee district additions, track cluster progress, add notes, communicate with District Heads and view images indicating cluster progress.
We provided comprehensive reports and charts for management to monitor progress across districts and clusters, identifying pending and completed tasks.
The solution offers a comprehensive view of the entire project across various clusters and districts, enabling better oversight and strategic decision-making.
By defining processes and phases for each activity, the system simplifies the management of complex tasks within Solar Fencing and Land Levelling, ensuring each phase is tracked efficiently.
The introduction of a mobile app and communication features facilitates seamless interaction among Project Heads, District Heads, Cluster Managers and Contractors, fostering better coordination.
Tailored features for different roles (Project Head, District Head, Cluster Manager, Contractor) ensure that each team member can perform their duties effectively, with access to the relevant information and tools.
The ability to update and view the progress of assigned clusters in real-time helps in maintaining the project timeline and addressing issues promptly.
Centralized document management for each cluster aids in organizing critical information, making it easily accessible to all stakeholders.
Assigning specific activities and responsibilities to individuals at different hierarchy levels enhances accountability and transparency in the project's execution.
Access to detailed reports and analytics empowers the management team to make informed decisions based on current project data and trends.
The provision of tailored reports and charts offers valuable insights into the progress of districts and clusters, highlighting completed and pending tasks for focused management attention.
This solution streamlined the complex project management structure of Giriraj Civil Developers Limited, enhancing coordination, communication and tracking across hierarchical levels and geographical clusters. It provided a comprehensive view of the project's progress, ensuring timely completion and effective resource management.
